# How to Record a Preventive Maintenance Service in Blue Collar Parts

**When you start a preventive maintenance service event, Blue Collar Parts opens the PM form for that kind of equipment and walks you through it one system at a time.** What you record becomes the record your customer receives.

## Which form opens

The form follows the asset type:

| Asset type | Form | Systems it covers |
|---|---|---|
| Truck | Over-the-Road Truck PM Inspection | [Semi truck PM checklist](/kb/semi-truck-preventive-maintenance-checklist) |
| Generator | Diesel Power Generation PM Inspection | [Diesel generator PM checklist](/kb/diesel-generator-maintenance-checklist) |
| Marine | Marine Diesel Propulsion PM Inspection | [Marine diesel PM checklist](/kb/marine-diesel-engine-maintenance-checklist) |

Trailers have no dedicated PM form yet; you choose the form you are working to when you start the service event.

These are preventive-maintenance forms. They are not an inspection under 49 CFR 396.17 and not a basis for an out-of-service decision. See [PM inspection vs. DOT inspection](/kb/pm-inspection-vs-dot-inspection).

## Work through the form

1. Each item takes **PASS**, **FAIL**, or **N/A**. On a keyboard, **1**, **2**, and **3** answer, and **J** and **K** move between items.
2. Add a **READING** where a measurement settled the result, and a **NOTE** where the customer or the next technician needs context.
3. **UNDO LAST** reverses your last answer.
4. At the end of each system, review it and press **EDIT** to change an answer or **CONFIRM** to move on.

Your answers save on the device as you go. If you lose signal, the status shows **OFFLINE · SAVED ON DEVICE** and the work waits for the connection.

## File the service record

When every item is answered, press **FILE SERVICE RECORD**.

1. Fill in the details for the visit: the unit or vessel identifier, the meter reading (odometer or engine hours), the engine details, the date, and the technician. On a repeat visit, details already on record are filled in under **Already on record**; use **Edit details** to change them.
2. Optionally add **Work performed** and **Technician notes**.
3. Tick the acknowledgement that this is a preventive-maintenance service record.
4. Under **And then**, you can tick **Mark this work complete** now, and choose a **Next service** date, or leave both for later. Marking work complete cannot be undone.
5. Press the button, which reads **FILE SERVICE RECORD**, **FILE AND COMPLETE**, **FILE AND SCHEDULE**, or **FILE, COMPLETE AND SCHEDULE** depending on your choices.

Next: [send the record to your customer](/kb/send-a-record-to-your-customer). For the write-up habits that make the record worth reading, see [complaint, cause, correction](/kb/complaint-cause-correction).
