What Your Customer Receives: The Blue Collar Parts Service Record

What happens on your customer's side when you send a record from Blue Collar Parts: the email, confirming the record, how long the link works, and what the service record shows, including the record number.

Updated

Your customer receives an email with a link to the record. They confirm it, and the record opens. They do not need an account, a password, or an app.

Confirming the record

  1. The link opens a page headed Your service record is ready: "Your service provider has sent you the record for your recent service."
  2. The customer presses Confirm and open my record, and the record opens.
  3. Confirming opens the record for 30 minutes. The customer can come back to the same link any time before it expires. Links stay valid for 14 days.

When your customer confirms, the record moves to Records in your Work list.

If the link has expired or the record was withdrawn, the customer sees This record did not open with the reason. You can send the record again to issue a new link.

What the record shows

The service record shows:

  • The result of the work, in words. A PM reads Serviced or Needs attention. An annual inspection reads Inspection passed or Inspection failed.
  • The Completed date and the Record no.
  • Who's on this record.
  • What was serviced (on a PM) or What was checked (on an annual inspection), point by point, each with its own mark.
  • Next service due, or Next inspection due.

Every mark on the record has a color, a shape and words. See how to read a service record for what each one means.

The customer can print the record or save it as a PDF from their browser.

The record number

Each record carries a 12-character record number, shown in three groups of four. It identifies the work. It is not a password and it does not open the record by itself; the emailed link does.

What the record is not

A preventive-maintenance record is a service record, not a regulatory certificate. Blue Collar Parts delivers the record you wrote; it does not verify the work or make a compliance decision. See what belongs in a PM report for the customer.
